Sync Form Choices from Google Sheets™ (Google Forms™)

Keep dropdown, multiple-choice, and checkbox options in Google Forms™ aligned with a Google Sheets™ column: preview every change, update in one click, quiz-safe — no AI, nothing leaves your Google account.

Choice Sync from Sheets keeps the answer options of your Google Forms™ questions aligned with a spreadsheet. Map each dropdown, multiple-choice, or checkbox question to a column in Google Sheets™, preview exactly what would change, and update the live form in one click—ideal for registration forms, sign-ups, and event or inventory lists where the options live in a sheet that keeps changing.

Choice Sync is available in Google Forms™. Open a form and go to Extensions → Text To Table Converter → Form Tools → Sync choices from Sheets... You can also open it from the Choice Sync section of the sidebar.


Step 1: Choose a Spreadsheet and Map Your Questions

  1. Choose the source spreadsheet

Click Choose spreadsheet and pick one Google Sheets™ file—it becomes the single source for the whole form. Access is file-scoped: the add-on can only read the file you picked and never asks for full Drive or Sheets access.

  1. Enable the questions you want to sync

Every supported question in the form—Multiple choice, Checkboxes, and Dropdown—appears as a row with a checkbox. Questions that use answer-based section navigation are excluded, because replacing their choices could break the form's navigation.

  1. Map each question to a sheet tab and column

For each enabled question, pick the Sheet tab and the Source column (identified by its row-1 header). Different questions can read from different tabs and columns of the same file. The values in rows 2 and below become the question's choices: blank cells are skipped, exact duplicates are removed, and the sheet's row order is kept. Values are read as they are displayed in the sheet, so dates and numbers keep their formatting.

Step 2: Preview Every Change

Click Preview to see, question by question, how many choices the sync would add and remove, along with a sample of the new list. Nothing is written to the form at this stage—Update now stays disabled until a preview of the current mapping succeeds, and changing any mapping requires a fresh preview.

The preview (and the update itself) is stopped if something no longer matches what you mapped: a renamed or deleted sheet tab, a changed column header, a deleted question, an empty source column, or—on quiz forms—an update that would remove a choice marked as a correct answer.

Step 3: Save the Mapping or Update the Form

  • Save mapping stores the configuration without touching the form. The next time you open Choice Sync on this form, the spreadsheet and all mappings are restored—so refreshing the choices later takes two clicks: Preview, then Update now.
  • Update now replaces the choices of every enabled question with the previewed Sheet values (after a confirmation) and saves the mapping. The update is all-or-nothing: if any question fails to update, the questions already changed are restored to their previous choices.
  • Clear saved mapping deletes the stored configuration for this form. The form's current choices stay unchanged.

Syncing is always manual—choices change only when you click Update now, never automatically on a schedule or when the sheet is edited.

Quiz-Safe: On quiz forms, correct answers are matched by their exact text and preserved. If a sync would remove a choice that is currently a correct answer, the update is blocked so your answer key cannot silently break.

Limits

  • Question types: Multiple choice, Checkboxes, and Dropdown (grid questions are not supported)
  • One source spreadsheet per form, and up to 100 mapped questions
  • Questions with answer-based section navigation cannot be synced
  • Mappings are saved per user, so collaborators on the same form keep their own independent mappings
  • Updates are manual only—there is no automatic refresh on form submit or on a schedule

Privacy Note: Choice Sync uses no AI and sends nothing outside your Google account. It reads the selected spreadsheet with file-scoped access and edits only the current form. The saved mapping stores which file, tab, and column you picked—never the sheet's values or any form responses.
