1. Introduction

Codoha Ltd. ("we," "our," or "us") operates the website https://www.texttotableconverter.com and provides the Text To Table Converter Google Workspace Add-on, its associated Web App, and a standalone web-based tools suite (collectively, the "Service"). The Add-on provides functionality within Google Docs, Google Sheets, Google Slides, and Google Forms. The tools suite provides browser-based text, PDF, image, file, social, and education tools. This Privacy Policy explains how we collect, use, and disclose personal data when you use our Service.

We are committed to protecting your privacy and handling your data transparently. Codoha Ltd. does not sell your personal information. This policy is designed to meet the requirements of the EU General Data Protection Regulation (GDPR), the UK GDPR, the Swiss Federal Act on Data Protection (FADP), the Taiwan Personal Data Protection Act (PDPA), the California Online Privacy Protection Act (CalOPPA), and the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA).

3. Definitions

Application means the Text To Table Converter Google Workspace Add-on, which provides features within supported Google Workspace hosts.
Cookies are small files placed on your device by a website.
Device means any device that can access the Service.
Personal Data means information that relates to an identified or identifiable individual.
Processing means any operation performed on Personal Data.
Service means the Application, the Website, the tools suite, or all of them.
Service Provider / Sub-processor means a third party that processes data on our behalf.
Usage Data means data collected automatically from use of the Service.
Website means the Text To Table Converter website, including https://www.texttotableconverter.com.
You means the individual accessing or using the Service (the "data subject").
AI Interaction means user content processed by artificial intelligence services. AI requests are routed through OpenRouter to AI models including Google Gemini and, as a fallback, OpenAI models.

4. Information We Collect

We collect different types of information to provide and improve the Service.

4.1 Personal Data you provide or that identifies you

Account and identity data: your email address and first/last name, obtained from your Google Account when you sign in or install the Add-on.
Content you submit for processing: when you use features such as text-to-table conversion, Extract Content from PDF, image-to-table, audio transcription, translation, or AI writing tools, the text, files, images, or audio you select or upload is transmitted for processing. This content may contain Personal Data depending on what you submit.
Saved tool data: items you choose to save in the tools suite (for example, favorites, vocabulary lists, or saved lookups) are stored in our database, associated with your email address, until you delete them.
Customer support data: when you use the support form, we collect your name (if provided), email address, the subject and content of your message, any attachments, and technical data used for spam and abuse prevention.

4.2 Data collected automatically

Usage and diagnostic data: IP address, approximate location derived from IP, browser type and version, device identifiers, pages visited, features used, timestamps, error and performance diagnostics, and similar telemetry. In our backend and service logs, this may be associated with your email address or a pseudonymous session identifier.
Product analytics: we use a product-analytics provider to understand how the Service is used and to diagnose errors; this may include interaction recordings. Where required by applicable law (including the ePrivacy rules in the EEA/UK), non-essential analytics are used only with your consent, which you can withdraw at any time. See Section 6 (Cookies).

4.3 Billing data

Paid subscriptions and checkout transactions are processed by Paddle.com Market Limited ("Paddle"), our Merchant of Record. Your name, email, billing address, and payment details are collected and processed by Paddle under Paddle's own privacy policy and terms, and Paddle calculates and remits applicable VAT/sales tax. We do not collect or store payment card details on our own servers; we receive order, subscription-status, and tax-invoice information from Paddle.

We process Personal Data for the purposes below. Where GDPR/UK GDPR applies, the legal basis for each purpose is indicated.

Authenticate you, provide and maintain the Service, and deliver the specific feature you invoke (including sending your submitted content to AI providers to return a result) — performance of a contract (Art. 6(1)(b)).
Store items you explicitly choose to save (favorites, vocabulary lists, and similar) — performance of a contract (Art. 6(1)(b)).
Process and respond to support requests — performance of a contract / legitimate interests (Art. 6(1)(b)/(f)).
Security, abuse and fraud prevention, service integrity, and debugging — legitimate interests (Art. 6(1)(f)).
Non-essential product analytics — consent (Art. 6(1)(a)), where required by law.
Optional feedback and service-improvement emails — consent or legitimate interests (Art. 6(1)(a)/(f)); you can opt out at any time.
Billing, tax, and fraud prevention for paid plans (via Paddle) — performance of a contract / legal obligation (Art. 6(1)(b)/(c)).
Comply with legal obligations and enforce our terms — legal obligation / legitimate interests (Art. 6(1)(c)/(f)).

Where we rely on legitimate interests, you may object at any time (see Section 10). Where we rely on consent, you may withdraw it at any time without affecting processing that already took place.

Providing your account data and the content you submit to a feature is required to use that feature: it is necessary to enter into and perform our contract with you, and if you do not provide it we cannot authenticate you or deliver the feature you request. Providing optional data (such as feedback or non-essential analytics consent) is voluntary and carries no consequence beyond the loss of that optional functionality.

5.1 AI processing

AI-powered features process the content you submit only when you actively invoke a feature that requires it; this is part of performing the service you request. You control AI processing in the Add-on through an AI permission setting (Allow / Ask / Deny). Please do not enter sensitive or special-category data (for example, health, financial-account, government-ID, or login-credential information) into AI features. AI requests are routed through OpenRouter to AI models including Google Gemini and, as a fallback, OpenAI models.

6. Cookies and Similar Technologies

Strictly necessary: when you sign in to the tools suite, we set a single authentication cookie (tools_session) — an httpOnly, secure token used only to keep you signed in, expiring after 24 hours. A locale-preference cookie remembers your chosen language. Where a cookie-consent choice is offered, a cookie (ttt_cookie_consent) remembers that choice. These are necessary for the Service and do not require consent.
Functional storage: we use your device's localStorage for settings and tool state (for example theme, font size, saved drafts, and tool preferences). This data stays on your device.
Analytics: we use a product-analytics provider that may set cookies or use local storage and may include interaction recordings. Where consent is required by law (including in the EEA, UK, and Switzerland), these are activated only after you consent, and you can change or withdraw your choice at any time.

We do not sell your Personal Data. We share it only with sub-processors that process data on our behalf under contract, and where legally required.

For AI features, storage, analytics, support, and payments we use, among others: Google (Google Cloud Platform and Google Workspace APIs), OpenRouter (our sole AI integration, which routes each request to the selected model and in doing so transmits content to model providers such as Google and OpenAI, acting as OpenRouter's sub-processors), Supabase (database and file storage for saved tool data and transient uploads), our product-analytics provider, Web3Forms (support form), and Paddle (Merchant of Record for billing).

We may also disclose Personal Data in good faith to comply with a legal obligation, protect our or others' rights, prevent or investigate wrongdoing, or protect user or public safety.

8. International Data Transfers

We operate from Taiwan and use sub-processors located in Taiwan, the United States, and other countries. This means your Personal Data may be transferred to, and processed in, countries outside the EEA, the United Kingdom, or Switzerland that have not received an "adequacy" decision.

Where we transfer Personal Data out of the EEA, the UK, or Switzerland, we rely on appropriate safeguards, principally the European Commission's Standard Contractual Clauses (SCCs) (with the UK Addendum and Swiss adaptations as applicable), together with supplementary measures where needed. You can request information about these safeguards using the contact details in Section 2.

9. Data Retention

We keep Personal Data only for as long as necessary for the purposes described in this policy:

Content submitted to AI features: processed transiently to return your result and not retained by us as a stored copy after processing completes. Limited diagnostic logs (for example truncated prompt/response excerpts and hashes) may be generated when errors occur and are retained under our service-log retention (typically about 30 days).
Saved tool data (favorites, vocabulary, etc.): retained until you delete the item or your account, or until an extended period of account inactivity, after which it may be purged.
Transient uploads (for example audio submitted for transcription): deleted promptly after processing.
Account and usage data: retained for the life of your use of the Service and for a limited period afterward as needed for security, billing, and legal compliance.
Support correspondence: retained for 24 months after the ticket is closed, then deleted.
Billing records: retained by Paddle and by us as required by tax and accounting law.

10. Your Privacy Rights

If you are in the EEA, the UK, or Switzerland, you have the right to: access your Personal Data; rectify inaccurate data; erase data ("right to be forgotten"); restrict or object to processing; data portability; and, where processing is based on consent, withdraw that consent at any time. You will not be subjected to solely automated decisions producing legal or similarly significant effects.

You can permanently delete your saved tool data yourself from the privacy settings in the tools suite. To exercise any other right — including access to, or a portable copy of, your data — email support@texttotableconverter.com. We respond to rights requests within 30 days (extendable where permitted by law). We do not charge a fee for legitimate requests.

You also have the right to lodge a complaint with your local supervisory authority (in the EEA), the UK Information Commissioner's Office (ICO), or the Swiss Federal Data Protection and Information Commissioner (FDPIC).

10.2 CCPA/CPRA rights (California)

California residents may request to know, access, and delete Personal Data, and to opt out of "sale" or "sharing." We do not sell personal information. Contact support@texttotableconverter.com.

10.3 Taiwan PDPA rights

You may inquire about, review, obtain a copy of, supplement, correct, request cessation of collection/processing/use of, or request deletion of your Personal Data. Contact support@texttotableconverter.com.

11. Children's Privacy

The Service is not directed to anyone under 18, and we do not knowingly collect Personal Data from children. If we learn that we have collected Personal Data from a child without appropriate consent, we take steps to delete it.

12. Security

We use technical and organizational measures appropriate to the risk, including encryption in transit, access controls, and least-privilege secret management, to protect Personal Data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

13. Google Services and Google User Data

Text To Table Converter integrates with Google services, including the Google Docs, Slides, Sheets, Drive, and Generative Language APIs and Google Apps Script. Use of the Service is also subject to applicable Google policies, including Google's Privacy Policy, the Google API Services User Data Policy (including its Limited Use requirements), the Gemini API Additional Terms, and Google's Generative AI Prohibited Use Policy.

Codoha Ltd.'s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. The Add-on interacts only with the documents, sheets, slides, forms, and Drive files you actively use with it, and uses the permissions requested at installation solely for user-initiated actions. Broadly worded Google permission descriptions do not mean that we access, modify, or delete unrelated files in the background. You can review or revoke Google permissions at https://myaccount.google.com/permissions.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the "Last updated" and "Effective Date" above. Material changes will be communicated where appropriate.
